GED and SAE: what are the differences?

If you're interested in the dematerialization of content and data, you've probably heard of EDM and EAS solutions.

These two electronic archiving tools are often confused by companies, even though they don't offer the same functionalities. Nevertheless, they can be combined to ensure better information management.

So, what are the differences between EDM and EAS software? How can they be combined? We take a look at these questions.

EDM software: file creation and management
Electronic Document Management (EDM) is software for centralizing and processing digital documents, regardless of format (PDF, image, video, e-mail, etc.) or source.
With this tool, you can :

  • Create a new document ;
  • Digitizing paper content ;
  • Modify or delete information ;
  • Move and share file.

It provides a clear document base accessible to all. Its aim is to facilitate the work of teams by improving the sharing of information within the company. You can also manage user access, track actions performed on the file, and create validation and distribution processes (workflows).

SAE software: document storage and security
The Electronic Archiving System (EAS) is not simply a means of storing content. It meets several fundamental business needs:

  • Guarantee file traceability and authenticity;
  • Ensure the continuity and integrity of information;
  • Perfect data security.

SAE software acts like an electronic safe, preserving the legal value of a file while it is being stored. Once a document is integrated into this ultra-secure space, it becomes impossible to modify or delete it.
The tool therefore ensures total integrity of the information it contains. Files archived in the SAE therefore have probative value, in accordance with current legislation on archiving standards (standard NF Z42-013).

Possible combinations of EDM and EAS software
As you can see, these two dematerialization solutions do not meet the same needs:

  • The aim of EDM software is to facilitate the creation and day-to-day management of a company's files. It therefore comes into play upstream.
  • SAE software offers a secure storage solution. It is used at the end of the cycle, when the file is no longer to be modified.

These dematerialization systems are therefore complementary in their use. It is difficult to substitute them! Most companies use both to manage the file lifecycle and guarantee file security.
